Engagement Coordinator

This part-time position provides a full range of moderate to complex clerical work assignments in support of the Office of Alumni Engagement staff. The Engagement Coordinator reports directly to the Director of Alumni Engagement, supports the entire office staff and interacts with a wide range of university staff, faculty, students, alumni as well as community members. This is a part-time (up to 29hrs/week), on-campus position. 

 

DUTIES:

  • Manage administrative operations for Alumni Engagement; respond to inquiries via phone, emily and in-person from alumni and campus partners; assist with office mailings, database management and other special projects; organize on-campus volunteer opportunities with Admissions, students, Alumni Engagement events; ensures office and staff in equipped with adequate supplies and equipment; manage the main Alumni Engagement email accounts; assist in budget tracking and processing invoices; process the intake of alumni data updates, ensuring data is being updated in CRM; participate as needed in departmental events and activities, including but not limited to Homecoming, All-In, Family Weekend and Commencement
  • Supports Alumni Engagement events and meetings; prepare materials, supplies, nametags, and other needs in preparation for events; communicate with Engagement and Advancement staff about alumni activities; coordinate meeting facilitation needs; research, coordinate and inventory supplies, gifts and giveaways for Advancement events, stewardship and general office
  • Responsible for management of student workers including hiring, training and supervision for daily operations; manage student worker team and track/approve their hours in partnership with Financial Aid Student Employment ensuring protocols are followed; manage student tasks, schedules and responsibilities; direct students in managing the class newsletter program, supporting a direct mailing and online edition; direct students in preparing mailings and updating biographical data of alumni; direct students in event preparation, including but not limited to, making phone calls, creating personalized gifts and manual tasks

REQUIREMENTS:

  • Bachelor’s degree preferred; a combination of education and professional experience may substitute for a degree
  • One year of related experience in event or volunteer management, supervisory experience in either professional or volunteer capacity
  • Ability to handle confidential information is essential

Level 18: $20.16/hr (up to 29 hours/week)
