Administrative Specialist IV - School of Music
This position supports the daily operations for the School of Music (SoM)* and provide administrative assistance to the Director, faculty and students. This is a full time, on-campus position. Position is 37.5/hrs a week for 10 months (August - May) and 20/hrs week for 2 months (June & July). Responsibilities:
- Academic & event related assistance; assist in scheduling of classes, additional rehearsals, sectionals and course-related activities; purchasing of music, classroom supplies and teaching materials; coordination of logistics for 100+ events a year, including liaison between SoM and guest artists; onboard new faculty members; collect syllabi each semester, adjunct faculty hours and student concert attendances
- Managing School of Music budgets; manage budget allocations and assist in forecasting; reconcile budget with Business Office and provide annual and monthly reports; submit documentation for payments, reimbursements, transfers and credit card usage; assist in grant reporting
- Office management and support; maintain and update the School of Music calendar, website and social media accounts; broadcast events to campus and community partners; oversee programs and promotional materials; other duties as assigned
- Preparatory Program, in coordination with program directors; annual scheduling, studio assignments and contracts; collect and process program payments; communicate with participants and their families
Requirements:
- High school diploma required, bachelor’s degree preferred; significant office administration experience may substitute for preferred education
- Three years’ related office experience
- Excellent organizational, communication, and interpersonal skills
- Solid problem-solving skills

*Depending on university need, administrative assistants in the Academic Affairs (AA) division may be deployed in other areas of AA.
