Administrative Specialist III - Office of Residential Life

This position serves as the office manager for the Office of Residential Life (ORL), coordinating and supporting the activities, staff, and services that operationally support the residential mission of Illinois Wesleyan University.  Provides direct supervision of student office staff and support for 49 residential hall staff.  Serves as a first-line responder for internal and external communication, interacting with a wide variety of stakeholders.  Monitors departmental and residence hall budget lines and is required to work with sensitive and confidential information. This is a full-time, benefits-eligible, on-campus position. Responsibilities:

  • Operational office support; supervises ten student office employees, including hiring, training, scheduling, performance management, and payroll oversight; trains staff to professionally respond to incoming phone calls, emails, and in-person inquiries while ensuring compliance with Work-Study limits; provide training and support to the additional 49 residential hall student staff; monitor and tracks the department and residence hall budget lines ensuring compliance and accurate documentation of expenditures. train and monitor professional staff in the budget process and residence hall staff on the reimbursement process; update ORL website; submit office work orders and reserve rooms through 25Live, as requested; assist Director and Assistant Directors as instructed; create and maintain a full inventory of office supplies and speciality items
  • Communicate with a wide variety of internal and external constituents; serves as the primary point of contact for incoming students, families, and campus partners regarding housing processes, program policies, and procedures; liaise with Bloomington city personnel in planning move-in/out dates; partner with various campus departments to ensure a smooth transition for current and incoming students arriving on campus early; administer keys for the on-campus indoor bike storage program
  • Work within multiple databases of FERPA-protected & confidential student information; run various reports within the housing database related to incoming and current students, Sodexo, and Athletics; access reports in the ORL/Campus Safety housing and meal plan database, troubleshooting issues as necessary; schedule conduct meetings for the Director

 

Requirements:

  • Associate’s degree preferred; a combination of education and professional experience may substitute for a degree
  • Three years of related office experience
  • Ability to handle confidential information is essential
