Assistant Director of Conference Services - Sales & Marketing

Reporting to the Director of Conference Services, this position is responsible for maximizing revenue by driving sales/contracting clients, developing and executing marketing strategies, and contributing to the long-term growth and strategic vision of the department. This role will align day-to-day sales and marketing efforts with overarching organizational objectives while ensuring efficient operation of the Conference Services Department. This role is responsible for the sales and contract process for all one-day events (including weddings) and for our summer intern housing program. The successful candidate will combine a genuine appreciation for special events and hospitality with a drive to grow the business appropriately. This is a full time, 12 month, on-campus position.  Generous benefits include health, retirement, considerable time off and access to multiple tuition programs for employees and dependents.  

Responsibilities:

  • Strategic Planning & Business Development; work with the Marketing Department as needed to create, implement, revise, and maintain the marketing plan for one-day events and summer intern housing; develop and implement recruitment strategies for clients; conduct appropriate research and use analytics to drive business and ROI; constantly innovate to adapt to business trends
  • Sales & Negotiation; lead response process for one-day event inquiries; work with the Director of Conference Services and the VP for Finance and Operations to negotiate terms and pricing with new and repeat clients; create contracts for clients based on negotiated terms; ensure successful and positive client relations; build and nurture relationships with clients and vendors
  • Marketing; Work with the Marketing Department as needed to ensure marketing is up-to-date, follows University branding and marketing guidelines, and remains market-competitive across all platforms; respond to RFPs and development proposals for new business
  • Leadership and Administration; recruit, train, and supervise student workers and interns; ensure successful application of marketing budget; provide reporting on sales metrics, bookings, and financial results to improve decision-making; keep accurate and detailed records of past and upcoming events; under the leadership of the Director of Conference Services, create policies and procedures to ensure effective functioning of office; maintain relationships with campus partners
  • Support Event Execution; work with office team to coordinate and manage events, conferences, and camps; implement and maintain University policies and procedures, including protection of minors, tax, and insurance liability; ensure successful event hand-off to event support staff and student workers; serve in an on-call rotation, working with clients, Campus Safety, and others, as needed, to address any issues or concerns that arise

                     

Requirements: 

  • Bachelor’s degree required; marketing, communications, business or hospitality preferred
  • Three years’ related experience in areas relating to: sales, negotiation, marketing across multiple platforms, contracts, fiscal management, lead generation, customer relationship management software (CRM), hiring, supervisory, customer service, summer camps or special events, or other transferable skills.
  • Occasional travel and evening/weekend work required; on-call for emergencies outside of regular business hours

$44-$47k, based on experience
