Alumni Engagement & Events Specialist

The Alumni Engagement and Events Specialist is responsible for planning and executing a wide range of in-person and virtual events that connect Illinois Wesleyan University alumni to the campus community. This role manages signature programs such as the Alumni Awards, Entrepreneur of the Year, and alumni travel opportunities, while also supporting cross-campus collaboration to integrate alumni into university initiatives. The specialist coordinates event logistics, marketing efforts, vendor relationships, and post-event evaluation. Success in this role requires creativity, strong organizational skills, and a passion for fostering meaningful alumni engagement.  This is a full time, on-campus position. Responsibilities:

  • Collaborate with team members to develop event concepts and manage event logistics for all Advancement/Alumni Engagement events; act as point of contact for internal and external vendors; negotiate contracts and assist with marketing strategy and budget management of advancement events; develop event coordination from top down; contribute creative ideas to produce events that promote Advancement and University initiatives; identify and cultivate donor and sponsor support to underwrite alumni engagement events
  • Strategic Campus collaboration in serving as a central point of contact for on-campus departments seeking to engage alumni in their programming or events; build and maintain relationships with key campus departments; act as liaison between internal stakeholders and alumni community; advise campus partners on best practice for engaging alumni; help plan and coordinate the alumni component of programs and events; collaborate with promotional events to publicize alumni-involved events; assist in post-follow up communications
  • Implement and grow comprehensive programs, including Entrepreneur of the Year, Alumni Awards, Festival of the Arts, Webinars, Travel Program and other University programs as developed; plan and manage all logistical aspects of signature alumni programs; coordinate timelines, budgets, and staffing; collaborate with alumni, faculty, staff and external partners to develop meaningful content; develop and implement communications and outreach plan in support of engagement and attendance

Requirements:

  • Bachelor’s degree required
  • Minimum of one year relevant experience; understanding of event and volunteer management, practices and procedures. Previous management experience, either professionally or within volunteer capacity
  • Proficient in Microsoft Office and/or Google Products (Word/Docs, Excel/Sheets, Powerpoint/Slides, Google Forms); skilled in use of personal technology. Excellent interpersonal and relationship-building skills, with the ability to connect and communicate effectively with a diverse range of individuals, including alumni, staff, faculty, and volunteers. 
  • Strong project management skills.
  • Occasional evening and weekend hours are required
