Administrative Specialist IV - Natural Sciences
Provide administrative and clerical support to six academic departments within the Center for Natural Sciences (CNS), with approximately 50 faculty members. Assist departments with daily general office administration, special projects involving software, budget management, and maintenance of departmental websites. This is a full-time, 12 month, on-campus position. Generous benefits include health, retirement, considerable time off, and access to multiple tuition programs for employees and dependents.
Responsibilities:
- Support approximately 50 faculty: critically edits and formats documents of various types; assists in the renewal of DEA and state drug licenses; works closely with the premed/predental advisory committee to maintain student files, evaluate, edit, and upload letters of evaluation to appropriate application services; provides support for the Institutional Animal Care and Use Committee; attend department meetings and proctor exams as requested; coordinates and supports faculty searches and external reviews; coordinates logistics of natural science colloquia; manages internal and external grant funds including endowed chair and professorship funds
- General office support: order necessary office supplies for departments and division office; submit work orders and IT tickets as needed; orient new CNS faculty and staff to IWU forms and procedures; serve as key coordinator for CNS; hire and supervise student workers for the division office and CNS security desk
- Department, division, and natural science colloquium budgets: track and reconcile budgets and credit card transactions; maintain budget spreadsheets; codes invoices and processes transactions; assists departments in creating their budget requests for the next year; creates the budget request for division office
- Utilize specialized scientific software: in supporting faculty requests such as LaTeX, ChemDraw, ChemDoodle, Hypercube, Nexax (or willingness to learn on the job); assist faculty and students in preparing posters, papers, presentations, and proposals; submit print jobs to Titan Print
- Departmental web page support: work with individual departments to suggest improvements and ensure webpages are updated regularly; make basic improvements to webpages as needed by departments
Requirements:
- Bachelor’s degree preferred
- Minimum of three years related office administration experience
