Administrative Specialist IV - Admissions

This position provides high-level, confidential administrative and operational support to the Vice President for Enrollment Management and reporting department. This position manages executive scheduling, prepares meeting materials, facilitates departmental organization, and oversees daily office operations. Efficiently coordinates staff meetings, departmental calendars, events, and communications to ensure the smooth functioning of Enrollment, while supporting the VPEM’s strategic and operational objectives.  This is a full-time, 12 month, on-campus position.  Generous benefits include health, retirement, considerable time off, and access to multiple tuition programs for employees and dependents.  

 

Responsibilities:

  • Executive scheduling and meeting preparation; manage the VPEM’s complex calendar, including scheduling of internal and external meetings, travel and events; organize and prepare agendas, background materials, presentations, and briefings for meetings and events; ensure all meeting documents are accurate, complete and provided ahead of time; coordinate follow-ups and track action items from meetings
  • Departmental administration and office management; coordinate and schedule departmental meetings, retreats, trainings, and special events, including logistics, agendas and communications; maintain organized departmental files, correspondence, and confidential reports aligned with university policies; oversee supplies, resources, and equipment to ensure efficient daily office operations; serve as a point of contact for internal and external inquiries on behalf of the VPEM; financial and procurement processing
  • Administrative special projects and support; prepare routine correspondence, presentations, and reports for VPEM or department; support departmental projects, committees, and initiatives as assigned; proactively identify process improvements to enhance administrative efficiency
  • Event and calendar coordination; organize logistics and communications for departmental events, staff meetings, and functions; maintain and update the departmental calendar, ensuring critical deadlines and events are communicated; assist with travel arrangements and event registrations for the VPEM and department as needed; coordinate communications for event invitations, reminders and follow-up actions 

 

Requirements

  • Associates degree required
  • Minimum of one year related office administration experience

$20.16/hr (37.5 hrs/week)
