Administrative Specialist IV - Ed Studies, IO, WLLC and IGS

This position provides administrative support to Educational Studies (ES), International Office (IO), World Languages, Literatures and Cultures (WLLC) and International Global Studies (IGS). Responsibilities:

  • General administrative support for departments and teaching licensure; create and maintain confidential student files, evaluations and contracts;  data collections and management for licensure and assessment;  assist in course projections; attend regular meeting with full Admissions team; maintenance of student handbooks; serve as key coordinator for CLA building; coordinate IT and physical plant requests; provide support to student organizations (Aspiring Educators, KDP, Golden Apple and honor societies); attend department meetings as necessary
  • Marketing, event planning and social media outreach for ES, IO, WLLC, and IGS; conceive, develop and implement marketing ideas to promote the departmental programs and general internationalization efforts; design marketing materials, including brochures, posters and other print media; plan and coordinate event; manage social media and website maintenance specific to these departments
  • Financial and budgeting for ES, WLLC and IGS; monitor budget including endowed professorship; process reimbursements, stipends and vendor payments; pay bills and transfers; manage transaction on department visa cards and expense records; assist in forecasting budget needs for departments
  • Hire, train and supervise student workers for ES, WLLC, IO and IGS; train student workers so they are capable of working with variety of professors, students and university offices; assign projects to student workers and supervise ongoing projects; manage time cards and student worker schedule; conduct year-end evaluation for each student worker

Requirements

  • Associate’s degree preferred; combination of education and professional experience may substitute for degree
  • Minimum of one year related office experience; knowledge of budgeting and some marketing
  • Proficiency in MS Office and Google Suite; design software like Canva preferred
